# Creating and Updating a User

## Creating a User

{% hint style="info" %}
Users are **automatically created in AccessNow through single sign-on (SSO) integration**. You can also create users manually for system configuration or testing.
{% endhint %}

To add a new user to AccessNow, go to the **Users** module:

{% stepper %}
{% step %}

### Click **+New User**

{% endstep %}

{% step %}

### Choose a Login Type

Choose the login type that matches the user's access needs.

* **AccessNow:** Users have a local account. They sign in with a username, password, and second factor, such as Microsoft Authenticator. Use this for non-SSO users, including channel partners and third-party contractors.
* **SSO:** Users sign in with their enterprise username and password.

For either login type, provide the user's first name, last name, and email address. Then click **Save & invite**. The new user receives an email invitation.

{% hint style="info" %}
SSO users are usually created automatically through SSO integration. Create an SSO user manually when you need to grant early system access. You can also create users as local users. Convert them to SSO after the integration is complete.
{% endhint %}

<figure><img src="https://3605010251-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FHOxYzVrszbXcNBUauC0e%2Fuploads%2FHkpyg49jEMlp60nvmy64%2FScreenshot%202026-08-27%20at%2017.24.37%20%E2%80%93%20ScreenClip.png?alt=media&amp;token=89af08cd-efb3-4ebb-86fa-6595152aa152" alt=""><figcaption></figcaption></figure>
{% endstep %}

{% step %}

### User invitation

{% hint style="info" %}
User invitation emails come from **<noreply@comms.gallagher.com>**.

The invite is **valid for 12 hours**.
{% endhint %}

The new user receives an invitation by email. They must activate it. SSO users sign in with their enterprise credentials. AccessNow users must set a password and multi-factor authentication, such as Microsoft Authenticator.

<div data-with-frame="true"><figure><img src="https://3605010251-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FHOxYzVrszbXcNBUauC0e%2Fuploads%2F4PFgUAjgxuDj6VeeOOY8%2FScreenshot%202026-08-27%20at%2017.37.09%20%E2%80%93%20ScreenClip.png?alt=media&amp;token=82b1764e-084d-4ffd-b13a-c485d805dd37" alt="" width="563"><figcaption></figcaption></figure></div>
{% endstep %}
{% endstepper %}

## Forgot password or Resend an invitation

If an AccessNow user forgets their password, resend their invitation.&#x20;

This lets them set a new password.

<figure><img src="https://3605010251-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FHOxYzVrszbXcNBUauC0e%2Fuploads%2FYf7KJlow62yPlv0TDlXu%2FScreenshot%202026-08-27%20at%2017.17.13%20%E2%80%93%20ScreenClip%20(1).png?alt=media&amp;token=4f381b3f-dc38-4c2d-97ff-a431e625ba4c" alt=""><figcaption></figcaption></figure>

## Updating User Details

You can only update details for AccessNow users. The identity provider manages SSO user details, such as Microsoft Entra ID.

To update user details:

1. Go to the **Users** module.
2. Select the specific user record you want to edit.
3. Modify the user details as needed.
4. Save the changes to update the user information.
5. To **reset a password, resend the user's invitation.**

{% hint style="danger" %}
**You cannot change an SSO user's email address in AccessNow. Your SSO provider manages it.**
{% endhint %}

## Convert an AccessNow user to an SSO user

This is useful while configuring the system before SSO is available. Create future SSO users as local users. Convert them after the SSO integration is available.

1. Go to the **Users** module.
2. Select the specific user record you want to edit.
3. Select **ellipsis** → **Convert to SSO**.
4. Click **Yes** to confirm the conversion.

<figure><img src="https://3605010251-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FHOxYzVrszbXcNBUauC0e%2Fuploads%2FVNQVEuMebTO56ElXxDdN%2FScreenshot%202026-08-27%20at%2017.17.13%20%E2%80%93%20ScreenClip.png?alt=media&amp;token=204fb4d0-a6d3-49aa-a71b-d0d2eecca5d6" alt=""><figcaption></figcaption></figure>

## Disable or Recover a User

AccessNow supports disabling users rather than deleting them. This preserves audit trails. You can recover a disabled user using the same process.

{% hint style="warning" %}
Disabling a user removes them from all associated groups and privileges.

You cannot delete your own account.
{% endhint %}

1. Go to the **Users** module.
2. Select the specific user record you want to edit.
3. Select **ellipsis** → **Disable**.
4. Click **Yes** to confirm disabling the user.

<figure><img src="https://3605010251-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FHOxYzVrszbXcNBUauC0e%2Fuploads%2FcrKJXi5w6tDE4BIajPU3%2FScreenshot%202026-08-27%20at%2017.17.13%20%E2%80%93%20ScreenClip%20(2).png?alt=media&amp;token=e45cd481-a6e3-4425-a24a-5abfbdb5744a" alt=""><figcaption></figcaption></figure>

### Display disabled users

To display disabled users, select the **Disabled** checkbox.&#x20;

Disabled users are tagged with the Disabled badge.

<figure><img src="https://3605010251-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FHOxYzVrszbXcNBUauC0e%2Fuploads%2FeSc04M8VYedAwlniPLrb%2FScreenshot%202026-08-27%20at%2018.20.15%20%E2%80%93%20ScreenClip.png?alt=media&amp;token=aa5b4984-26f3-4b18-8f3c-3425969d6c54" alt=""><figcaption></figcaption></figure>

### Recover disabled users

To recover a disabled user, first [display disabled users](#display-disabled-users).

Select the disabled user's record. Then select **ellipsis** → **Recover**.

<figure><img src="https://3605010251-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FHOxYzVrszbXcNBUauC0e%2Fuploads%2FlrSAQusA9R9z1fWrP3Nk%2FScreenshot%202026-08-27%20at%2018.20.26%20%E2%80%93%20ScreenClip.png?alt=media&amp;token=02144d75-6699-491a-bc03-da408de29a6c" alt=""><figcaption></figcaption></figure>

## Querying This Documentation
If you need additional information that is not directly available in this page, you can query the documentation by asking a question.

Perform an HTTP GET request on the following URL with the `ask` and `goal` query parameters:

```
GET https://help.security.gallagher.com/knowledge-hub/accessnow-user-guide/system-administration/user-management/creating-and-updating-a-user.md?ask=<question>&goal=<user_goal>
```

`ask` is the immediate question: it should be specific, self-contained, and written in natural language.
`goal` is what the user is ultimately trying to achieve, the reason they need the answer. Sharing it helps GitBook give you a better, more relevant answer. A goal is most helpful when it describes the outcome the user wants rather than restating the question. For example, with `ask=how do I create an API token`, a goal like `automate deployments from our CI pipeline` lets GitBook tailor the answer to that use case.

The response will contain a direct answer to the question and relevant excerpts and sources from the documentation.

Use this mechanism when the answer is not explicitly present in the current page, you need clarification or additional context, or you want to retrieve related documentation sections.
